Microsoft Word has an extensive list of commands that can be put to good use. Some of the commands have shortcut keys assigned to them. Most of us are familiar with Copy (Ctrl+C) and Paste (Ctrl+V) commands. However, there are several other commands for which you can assign shortcuts and can make word processing an easy task.

How to Assign Shortcut Keys
  • Select Tools > Customize from the Word menu. Customize window appears.
  • Click Keyboard button. Customize Keyboard window appears.
  • Select a Category under which you wish to assign a shortcut. For example, if you select File on the left, all the associated commands are displayed to the right.
  • Select an unassigned command to assign a shortcut key.
  • Press new Shortcut Key in the 'Press new Shortcut Key' field.
  • Click the Assign button and click 'Close' button.


Example

Let us assign a shortcut key to File > Close in the Word menu.

  • Select Tools > Customize from the Word menu. Customize window appears.
  • Click Keyboard button. Customize Keyboard window appears.

  • Select 'File' in the Categories list.
  • Select 'FileClose' from the Commands list.
  • Press Ctrl+F and C (shortcut key for this example) in the 'Press new Shortcut Key' field.
  • Click the 'Assign' button and click 'Close'.
Previously Assigned Key

What happens if you assign a key that has already been assigned. The new shortcut takes effect and you will not be able to access the original function for which it was assigned. You can always reset the keys back to factory defaults.
